Refund & Cancellation Policy
Counselling Services
Olive & Oak Wellness is committed to providing professional, ethical, and transparent counselling services. This Refund and Cancellation Policy outlines fees, cancellations, refunds, and insurance-related considerations so clients can make informed decisions about their care.
Fees and Insurance
All counselling services are provided on a fee-for-service basis. Payment is due at the time of the session unless otherwise arranged. Olive & Oak Wellness provides detailed receipts for insurance reimbursement; however, clients are responsible for confirming coverage and eligibility with their insurance provider. Insurance companies typically do not reimburse for missed or late-cancelled appointments.
Once a counselling session has taken place, fees are non-refundable, in accordance with professional practice standards.
Cancellation and Missed Appointments
A minimum of 24 hours’ notice is required to cancel or reschedule an appointment. Appointments cancelled with less than 24 hours’ notice, or missed appointments (no-shows), will be charged the full session fee. This fee reflects time reserved exclusively for the client and is not billable to insurance.
Emergency Circumstances
Olive & Oak Wellness understands that unexpected emergencies may occur. Exceptions to the cancellation policy may be considered in cases such as sudden illness or urgent, unforeseen circumstances. Exceptions are reviewed at the clinician’s discretion and are not guaranteed.
Virtual Sessions and Technical Issues
Clients are responsible for ensuring a stable internet connection and a private environment for virtual sessions. If a session cannot proceed due to a technical issue on the provider’s end, no fee will be charged or a full refund will be issued. If technical difficulties on the client’s end significantly limit the session, it may be considered a late cancellation.
Prepaid Sessions and Refunds
Refunds for prepaid services are available only for unused sessions. Requests will be reviewed on a case-by-case basis. Any completed sessions will be deducted from the refunded amount.
SAFE Home Study Services
SAFE Home Study services are professional assessment services and are distinct from counselling. Fees reflect the professional time required for assessment preparation, intake, interviews, collateral contacts, analysis, documentation, and report writing, and are not contingent on approval or placement outcomes.
Due to the extensive preparation and documentation involved, fees are non-refundable once any part of the SAFE Home Study process has commenced, including document review or interviews.
A minimum of 48 hours’ notice is required to cancel or reschedule scheduled appointments. Late cancellations or missed appointments may result in additional fees. SAFE Home Study services are provided on a fee-for-service basis and are not eligible for insurance reimbursement.
Policy Agreement
By booking services with Olive & Oak Wellness, clients acknowledge that they have read, understood, and agreed to the Refund and Cancellation Policy. This policy is in place to ensure fairness, professional accountability, and the consistent delivery of high-quality services.
